Job Description: We are seeking a highly organized individual to provide executive administrative support to our Managing Partner. The candidate should have strong time management skills and be detail-oriented.
TRANSLATION: We need someone who has their $#@! together to help someone who does not have their $#@! together.

QUALIFICATIONS:

  • 3-5 years of experience as an executive assistant, office administrator, or office manager.
  • Ability to handle multiple tasks and adapt to changing situations.
  • Have a strong knowledge of 80’s and 90’s movies and TV shows, as most of our boss’ quotes, references and analogies seem to come from them.
  • Strong organizational skills and exceptional attention to detail.
  • Valid driver’s license and comfortable with local travel.
  • Proficiency in MS Office (Word, PowerPoint, Excel, Outlook, Teams) and SharePoint.
    Salary Range: Depends on Experience. Translation: If we like you, we’ll pay you more than you are currently making.

Responsibilities

RESPONSIBILITIES TO MANAGING PARTNER:

  • : Provide administrative support to the Managing Partner, including managing email correspondence, preparing reports, screening calls, and handling confidential documents with discretion. Translation: We are growing in leaps and bounds, and our boss is really smart but clueless at handling all the calls, emails, and meeting invites we send him.
  • : Maintain and manage the Partner’s calendar, ensuring efficient allocation of time for meetings, appointments, and travel. Prioritize and reschedule meetings as needed to accommodate urgent requests. Translation: Our boss likes to meet with people in person to make decisions, but he stinks at managing his Outlook calendar.
  • : Act as the primary point of contact between the Firm Partner and internal/external stakeholders. Facilitate smooth communication and respond to inquiries on behalf of the Firm Partner when appropriate. Translation: Sometimes we don’t know where our boss is. If we hire someone who always knows where he is, and we can find that person, everyone is going to be happier.
  • : Keep Firm Partner appraised of ongoing events, project updates, and other necessary information as collected. Translation: We are growing really fast, and our boss is really friendly, but we’re starting to suspect that he’s forgotten all our names and is just smiling and nodding in the hope that things will just keep working. We’d all feel a lot better if someone is in charge of keeping him up to date.

RESPONSIBILITIES TO LEADERSHIP TEAM:

  • Some support to Leadership Team in goals or functions to further the firm. Translation: By being the boss wrangler, you’ll make all our lives better, but there’s lots of stuff around here to do, so expect the occasional odd job.
  • : Assist the Project Management Team and Leadership Team in coordinating communication and ensuring deadlines are met. Provide support in the execution and monitoring of project plans. Translation: The boss is REALLY focused on strategic projects, so it’s in all our best interests if we get this stuff across the finish line.
  • : Organize and coordinate events with state judiciary including logistics, catering and attendees. Translation: Our boss wants fun events but stinks at details. Help him spend company money on the team.
  • : With support of the Leadership Team, assist in the management and coordination with external vendors and agreements. Translation: Please help us keep the rent, utilities, and other bills paid. Things seem to work around here but we’re not really sure how given how messy our boss is, so you will help us stay sane if we know someone’s got a system.
  • : Work closely with Leadership Team and other staff to ensure a cohesive approach to office management and support. Contribute to and creating a positive and efficient work environment. Translation: We all work really well together, which is the only reason we’ve put up with our boss for so long. Please have a sense of humor, a sense of perspective, and a sense of when to usher the boss out of the room so we can get real work done.
