Role Overview: We are seeking a highly organized and proactive Executive Assistant to support the day-to-day operations of a growing financial planning business. This role will act as a key support partner to the executive, helping manage schedules, streamline workflows, and coordinate internal processes so leadership can focus on business growth and strategic initiatives. The ideal candidate is detail-oriented, highly autonomous, and an excellent communicator who can confidently manage multiple administrative and operational tasks. While experience in the financial planning industry is not required, familiarity with financial documentation or compliance-related administration is considered a strong advantage. Key Responsibilities: Executive Support & Time Management Manage and coordinate the executive’s calendar, appointments, and scheduling priorities Act as a gatekeeper and buffer to help optimize the executive’s time and focus Assist with organizing meetings, preparing agendas, and tracking follow-ups Workflow & Process Management Support internal workflow management to ensure tasks and projects stay on track Organize and maintain Standard Operating Procedures (SOPs) and internal documentation Assist in improving operational processes and maintaining structured systems Document & Administrative Support Review, organize, and format business documents and internal materials Assist with preparing and managing documentation related to business operations Support administrative tasks related to financial planning workflows when needed Internal Coordination Coordinate with internal team members to ensure smooth communication and project progress Help track tasks, deadlines, and deliverables across the business Light Social Media Support Assist with scheduling social media posts across platforms Manage basic content organization and updates Support simple graphic or visual content preparation when required Proven experience as an Executive Assistant, Virtual Assistant, or similar administrative role Excellent written and verbal English communication skills Strong organizational and time management abilities Ability to work independently with minimal supervision High attention to detail and strong problem-solving skills Experience managing calendars, workflows, and documentation systems Proficiency with common productivity tools (Google Workspace, Microsoft Office, project management tools, etc.) Nice to Have Exposure to financial planning documentation or compliance-related administration Familiarity with ASIC-related processes or financial services documentation Basic experience with social media scheduling tools or simple graphic design platforms (e.g., Canva) Work Arrangement & Expectations: This is a remote role that will be set up as an independent contractor engagement.
