We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home. Who The Client Is: A premium fitness coaching for women. Role Overview: We’re looking for a reliable, proactive Executive Assistant to support the co-founder directly and help keep things running smoothly behind the scenes. Key Responsibilities: Managing the Director’s calendar, including scheduling, rescheduling, and coordinating meetings Coordinating Zoom links and ensuring meetings are properly set up and communicated Managing the co-founder’s inboxes (email and WhatsApp), ensuring messages are organized, prioritized, and handled appropriately Drafting, responding to, and organizing professional written communications Acting as the main point of contact between the Director, internal team members, and external parties Filtering requests and acting as an internal gatekeeper to protect the co-founder’s time and focus Supporting internal communications and ensuring information flows clearly across the team Supporting ongoing company projects and helping ensure deadlines are met Assisting with documentation, presentation preparation, note-taking, and organization of company records Handling day-to-day administrative tasks that help keep the team aligned, efficient, and productive Maintaining a high level of confidentiality, discretion, and professionalism when handling sensitive information Required Skills and Qualifications: Has at least 5 years of experience being an Executive Assistant in a remote setting A mid-level Executive Assistant with experience supporting senior leaders Someone with strong initiative Solution-oriented and calm under pressure - you see problems early and fix them Organized, trustworthy, and comfortable working behind the scenes This role is not client-facing and is focused on internal support only Work Arrangement & Expectations: This is a remote role that will be set up as an independent contractor engagement.
