We are seeking a highly motivated and organized Executive Assistant to join our team in the aerial firefighting industry. Duties include:
o Record meeting minutes and provide formal status reports for those in attendance at weekly and monthly meetings
o Assist in coordinating annual training programs – this may include scheduling, creating itineraries, organizing catering, procuring necessary supplies, creating presentations, etc.
o Maintain files and provide interpretation of policy regarding property, lease agreements, permits, procurement, records, and other agreements and contracts
o Serve as primary POC for external partners including lease management companies, third-party IT, vendors, and others
o Create, prepare, and procure visual data including graphs, charts, reports, presentations, marketing tools, letterheads, and business cards
o Organize, file, and store documents. Ensure all documentation is current, available, complete, organized, and audit ready. Securely archive previous years’ documents
o Maintain and update the company website to ensure accuracy, usability, and alignment with branding standards
o Support the CEO and provide additional support to executive team members as directed, to ensure that company goals and objectives are met and operations run efficiently
o Maintain and refine internal processes that support executives and coordinate internal and external resources to expedite workflows
o Manage and coordinate professional scheduling and calendar management for CEO
o Other duties as assigned
Candidates should have strong time management and organizational skills, technical proficiency, and knowledge and understanding of administrative policies, principles, methods, and techniques and be able to gather and analyze data to identify issues, formulate alternatives, and recommend actions to executives. Knowledge of aerial firefighting/aviation industries is preferred, but not required. Candidates must have the ability to pass background checks through TSA and DHS, and E-Verify and be considered insurable by company’s insurance (for driving company vehicles).
