We are seeking a highly organized and efficient temporary Secretary to cover a 8 month maternity leave period, ensuring the smooth and efficient operation of our office. This is a fixed-term role, ideal for an individual who can quickly adapt to new environments and manage multiple tasks effectively.

QUALIFICATIONS:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Able to commit from mid June to end January 2026.
  • Exceptional organizational and time-management skills.
  • Strong attention to detail and ability to multitask.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Experience in managing travel arrangements and expense reporting.
  • Familiarity with onboarding and offboarding processes is a plus.
  • Ability to work independently and take initiative.
  • Strong problem-solving skills and a proactive approach.
Responsibilities
  • Efficiently manage the GM ‘s calendar, including scheduling meetings and coordinating with internal and external stakeholders.
  • Plan and organize travel arrangements, including booking flights, accommodations, and transportation.
  • Ensure the GM is well-prepared for meetings with all necessary materials and information.
  • Coordinate and prioritize meeting requests, ensuring optimal time management.
  • Prepare, submit, and track expense reports for the GM.
  • Facilitate the onboarding process for new hires, ensuring a smooth and welcoming integration into the team.
  • Coordinate the offboarding process, ensuring all necessary steps are completed.
  • Assist in the preparation of departmental reports, presentations, and correspondence.
  • Organize and coordinate meetings, including setting agendas, taking minutes, and following up on action items.
  • Provide general administrative support to the GM.
  • Handle ad hoc requests and special assignments as needed.
  • Continuously seek opportunities to improve administrative processes and efficiencies.
  • The role may also involve supporting additional senior leaders on an as-needed basis.
