Description

YOUR EXPERTISE:

  • Bachelor’s degree in business administration, management or related field or equivalent experience;
  • Proven experience as executive assistant or similar role supporting C-suite executives;
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and manage competing demands effectively;
  • Strong written and verbal communication skills, with a keen attention to detail and accuracy;
  • Proficiency in MS Office Suite and other relevant software applications;
  • Ability to liaise with different teams / people in the organization whilst safeguarding the EB priorities (ability to deal with resistance and handle ‘difficult customers’’)
  • Strong in time management and following up on actions – holding others accountable.
  • Ability to maintain professionalism and composure in high-pressure situations, exercising discretion and tact at all times;
  • Demonstrated ability to work independently with minimal supervision and as part of a team;
  • Flexibility and adaptability to accommodate changing priorities and deadlines.

Responsibilities
  • Calendar and schedule management
  • Manage the CEO’s and CFO calendar, including scheduling meetings, appointments and travel arrangements;
  • Prioritize and coordinate commitments to optimize the CEO’s and CFO’s time and ensure maximum efficiency.
  • Communication liaison
  • Serve as the primary point of contact for internal and external communications on behalf of the CEO;
  • Screen calls, emails and other correspondence, responding or redirecting as appropriate;
  • Draft and edit correspondence, presentations and reports.
  • Meeting support
  • Prepare meeting agendas, materials and gather / edit presentations, ensuring all necessary information is available in advance;
  • Minute the Executive Board meetings and prepare for the Supervisory Board meeting.
  • Attend meetings, taking notes, tracking actions and following up on outstanding tasks as required.
  • Confidentiality and discretion
  • Handle sensitive information with the utmost confidentiality and discretion, maintaining privacy and security at all times;
  • Safeguard confidential documents and data, ensuring compliance with company policies and procedures.
  • Strategic support
  • Conduct research, gather data and prepare reports or presentations to support the CEO’s decision-making process and strategic planning efforts;
  • Anticipate the CEO’s and CFO’s needs and proactively provide support and assistance to drive organizational priorities forward.
  • Travel coordination
  • Arrange travel itineraries including flights, accommodations and transportation;
