What You’ll Do: The Executive Assistant plays a critical support role to a four-person leadership team. This role blends executive assistance, client engagement support, and administrative and office management responsibilities. The Executive Assistant will enable the leadership team to stay focused on client needs and high-impact priorities by anticipating needs, managing competing demands, and ensuring that both clients and team members experience seamless support. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment where anticipating needs and creating efficiencies are essential. Success in this role will be defined by the ability to proactively address challenges, improve processes, and contribute to a collaborative atmosphere that enhances the overall effectiveness of our operations. Key Responsibilities: Executive Support Manage calendars, email, travel, expenses, and communications with discretion and timeliness. Prepare meeting agendas, materials, and follow-up notes to ensure leadership effectiveness. Handle confidential information with professionalism and sound judgment. Operational Support (Client-Facing) Coordinate client communications and scheduling. Maintain and update Salesforce (or other CRM) records related to clients and projects. Assist with preparation and execution of client proposals and engagement letters. Administrative Support (Internal/Office) Manage office logistics including supplies, vendors, facilities, and visitor experience to maintain a professional environment. Support finance and administrative tasks such as processing invoices, preparing bank deposits, and expense tracking. Coordinate event planning and ensure smooth execution of internal and external gatherings. Provide process documentation and process improvement support for leadership and firm-wide initiatives. Coordinate conferences planning and related marketing logistics. Team Culture & Onboarding Coordinate new- hire onboarding and training logistics. Support employee recognition programs, team summits, and other cultural initiatives to foster a collaborative, team-first environment. The strongest candidates will bring: Proven experience as an executive assistant, operations coordinator, office manager or in a similar role, preferably supporting senior executives. Strong business writing and communication skills. High level of client service professionalism. Self-starter with the ability to anticipate needs and work independently. Comfortable problem solving and making judgement calls to keep work moving forward. Ability to manage multiple projects and meet deadlines in a fast-paced environment. Exceptional organizational skills with strong attention to detail. Thrives in a growth-oriented and innovative environment, embraces feedback, and sees challenges as opportunities for learning and growth. Proficiency in Microsoft Office, primarily Outlook, SharePoint, Teams and Word. Ability to handle sensitive and confidential information with discretion. Prior professional services industry experience preferred. Salesforce experience or similar CRM software experience preferred. Familiarity with the Entrepreneurial Operating System (EOS) preferred.
