JOB OVERVIEW

We are seeking a highly organized, energetic, and proactive Executive Assistant to support our executive team. In this role you will not only support the executive team, but you will assist other positions when there are absences or it is busy.
Our ideal candidate will be eager to learn, always excited for a challenge, enjoy a fast pace, and possess exceptional administrative skills and a strong ability to manage multiple tasks efficiently.

REQUIREMENTS

  • Proven experience as an Executive Assistant or in other administrative roles with clerical experience preferred.
  • Excellent verbal and written communication skills.
  • Strong Proficiency in Microsoft Excel, Word, and Outlook.
  • Strong organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
  • Excellent typing skills with attention to detail for accurate data entry and document preparation.
  • Experience with bookkeeping or financial management is a plus.
  • Must be able to troubleshoot basic tech issues.
  • Ability to handle confidential information with discretion and professionalism.

Education

  • High school graduation
  • Bachelors Degree or Diploma preferred

Compensation will be based on experience.
Job Types: Full-time, Permanent
Pay: $35.00-$70.00 per hour

Responsibilities
  • Manage executive calendars and communicate with executives about their schedules throughout the day.
  • Provide administrative support including typing, data entry, creating email drafts and proofreading documents to ensure accuracy and professionalism.
  • Organize and maintain both paper and digital filing systems.
  • Handle phone calls with excellent phone etiquette and using multiline phone systems.
  • Prepare documents needed for meetings and presentations.
  • Receive and track monthly reports from departments and report statuses to executive team.
  • Act as the point of contact between executives and internal/external stakeholders.
  • Take on and assist with special and business development projects. Tasks include but are not limited to: research, document assembly, data review/analysis, and planning.
  • Step in to assist with daily operations during holidays or peak periods
  • Provide front desk support when required, greeting visitors and managing incoming communications.
  • Collaborate with team members to streamline processes and improve office efficiency.
  • Other administrative duties as assigned.
