Description

The Executive Assistant plays a critical role in providing high level support to senior leaders in our clients dynamic, fast paced environment. This position requires exceptional organizational skills, strong business judgment and the ability to anticipate needs while managing multiple priorities. The Executive Assistant ensures seamless daily operations by managing complex schedules, handling sensitive and confidential information with discretion, and acting as a key point of contact both internally and externally. Your professionalism, adaptability, and attention to detail directly contribute to the success of our client’s leadership team and organizational goals. Candidates must be eligible to work in Canada.

REQUIREMENTS:

  • 3+ years’ experience as an Executive Assistant, Senior Administrative Assistant, or similar role supporting senior leadership
  • Strong proficiency with Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams)
  • Demonstrated ability to manage multiple priorities with accuracy and discretion
  • Excellent verbal and written communication skills, with a professional and responsive approach
  • Strong organizational skills and proven experience managing complex schedules and competing priorities
  • Ability to work independently while maintaining a collaborative approach

Responsibilities
  • Manage complex executive calendars, coordinate meetings, and prepare agendas and materials
  • Arrange travel itineraries, accommodations, and logistics for business trips and events
  • Serve as the primary point of contact for internal and external stakeholders on behalf of executives
  • Draft, review, and edit correspondence, briefing notes, and meeting minutes
  • Track, review, and reconcile expense reports, ensuring compliance with company policies
  • Maintain strict confidentiality when handling business, personal, and financial information
  • Support project coordination and follow ups to ensure deadlines are met
  • Anticipate executive needs and proactively resolve scheduling or operational challenges
  • Perform additional administrative tasks and special projects as assigned
