ABOUT THE ROLE

AMJ is looking for a highly organized and resourceful Executive Assistant to support the Vice President. This is a dynamic, fast-paced role that requires someone who thrives on variety and can balance administrative excellence with client-facing and project management responsibilities. You will work closely with internal teams, external clients, and partners to ensure smooth operations and execution of priorities.

KEY RESPONSIBILITIES

  • Provide high-level administrative and executive support to the Vice President, including calendar and email management, meeting coordination, and confidential correspondence.
  • Serve as a primary point of contact for key accounts and clients, ensuring timely and professional communication.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Support sales-related initiatives, including preparing proposals, presentations, and client-facing materials.
  • Assist in project management: track timelines, deliverables, and follow-ups across multiple departments.
  • Maintain and organize records, reports, and account documentation.
  • Liaise with internal teams (Sales, Operations, Dispatch, Logistics, Accounting, etc.) to ensure priorities are aligned and deadlines are met.
  • Anticipate needs and proactively identify ways to streamline workflows, enhance efficiency, and support the VP’s strategic objectives.
  • Completing errands at the direction of the VP.
