Responsibilities

The purpose of this role is to provide effective and efficient administration support to the General Manager Wealth Distribution, and other members of the Platforms Leadership team to ensure optimum team performance.

  • Diary Management for General Manager Wealth Distribution and other members of Platforms Leadership Team; maintaining the day-to-day diary, booking meeting rooms and catering
  • Organise monthly team meetings, quarterly team meetings and various in-house and offsite meetings as required, in a cost-effective and detailed manner (including gift vouchers for staff awards, years of service recognition certificates and awards)
  • Organise travel through the AMP preferred travel supplier.
  • Co-ordination of on-boarding of new starters
  • Update and maintain staff lists, organisational charts, email distribution groups
  • Review all incoming invoices for accuracy, process invoices within required deadline.
  • Process Platforms Leadership Team members AMEX statements and expense reimbursements
  • Accountable for the completion of administrative tasks and projects assigned to you by your leader e.g. creating presentations (All-ins), assist with agendas and logistics for General Managers Leadership Team meeting

Ideally, you will bring the following experiences to this role:

  • 5+ years relevant experience in a Executive Assistant or Personal Assistant role at Head of level
  • Medium - Advanced Word, Excel, Outlook and PowerPoint skills
  • Office Administration experience
  • Intermediate diary management skills
  • Excellent planning and organisational skills
  • Excellent written and verbal communication skills
  • Ability to perform autonomously in a demanding and high-pressure environment
  • Flexible team player, able to quickly adapt and manage workloads against shifting business priorities
  • Ability to build effective working relationships with internal & external stakeholders
  • Ability to remain calm and collected under high pressure in fast paced & constant changing environment
  • Strong customer focus
  • Approachable with an open communication styl
