POSITION OVERVIEW

We are seeking a highly organized and detail-oriented Executive Assistant & Bookkeeper to support our CEO and leadership team. This unique role combines financial management with executive-level administrative support, ensuring that both operational efficiency and fiscal responsibility are maintained.
The ideal candidate will be comfortable wearing “two hats”: managing the day-to-day bookkeeping functions while also providing high-level executive assistance to the CEO in a fast-paced environment.

QUALIFICATIONS

  • Diploma or degree in accounting, business administration, or a related field (or equivalent experience).
  • Proven experience in bookkeeping and/or executive administrative roles.
  • Proficiency with accounting software (e.g., QuickBooks, Sage, or equivalent) and Microsoft Office.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication skills—both written and verbal.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Experience in residential recovery or non-profit settings is an asset but not required.

    Pay: $50,000.00-$70,000.00 per year
    Work Location: Hybrid remote in Abbotsford, B

Responsibilities

Bookkeeping (40–50%)

  • Manage accounts payable and accounts receivable.
  • Prepare bank reconciliations and financial reports.
  • Assist with payroll processing and staff expense reimbursements.
  • Maintain accurate records of invoices, receipts, and budgets.
  • Work closely with external accountants and auditors.
  • Track funding, grants, and program expenditures.

Executive Assistant to the CEO (50–60%)

  • Provide direct administrative support to the CEO, including managing calendars, emails, and correspondence.
  • Schedule and coordinate board meetings, staff meetings, and external appointments.
  • Prepare presentations, reports, and meeting materials.
  • Maintain confidentiality of sensitive organizational and client-related information.
  • Assist with special projects and organizational initiatives as assigned.
