Description Purpose and Scope This position is for a person who loves God and His Church. The individual will speak with and work with people with a great sense of respect and humility. The individual works directly with the Pastor to ensure a smooth even flow of communications and work to and from the Pastor; to be the interface between the Pastor and the Parishioners to ensure effective communications and effective use of the Pastor’s time in all tasks Essential Job Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Communications: • Coordinate Pastor’s calendar and prioritize weekly schedule for Pastor • Screen phone calls to Pastor • Retrieve and sort mail and interoffice correspondence • Manage Pastor’s Calendar • Review documents for Pastor Signature • Update staff with email and mail from Diocese • Disburse incoming documents from Diocese • Oversee and coordinate parish ministries in alignment with the parish mission and pastoral vision. • Recruit, train, and support ministry leaders and volunteers to ensure effective and sustainable programs. • Facilitate regular communication and collaboration among various ministries and parish groups. • Support the planning and execution of parish-wide liturgical and community events. • Assist with ministry budgets, program planning, and communication efforts (bulletins, website, announcements). • Ensure that all volunteers and staff comply with diocesan safe environment and background check requirements. Parishioner/Guest interface • Welcome Pastor’s appointments/guests • Take calls from and meet with parishioners • Coordinate Food and Hospitality as needed for Pastor Meetings Additional Job Functions • Perform other duties as assigned by the Pastor Knowledge, Skills and Abilities Required · Must maintain confidentiality, professional courtesy and exceptional parishioner care skills at all times. • Able to Maintain good relations and effective communication with Parish Pastor, Parish Staff, Finance Council, Pastoral Council, and other Diocesan Employees. • Exhibit resourcefulness and initiative in anticipating and meeting the needs of others in a pro-active manner. Encourages and empowers subordinates to perform in the same manner. • Excellent written, verbal, and speaking skills in English, being bilingual is a plus. • Working Knowledge of Microsoft Office products (Word, PowerPoint, Outlook, Excel, etc.) • Administration and Supervisory skills • Planning and Organizational skills • Ability to maintain confidentiality Educational Qualifications · Bachelor’s degree preferred — preferably in one of the following areas: Theology, Pastoral Ministry, Religious Studies, or a related field Minimum Qualifications (Required): • Active Practicing Catholic in communion with the Catholic Church • High school diploma or equivalent and a minimum of five consecutive years of current experience working in a church-related position. Work Environment • This job operates in a professional office environment. • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands This is largely a sedentary role with occasional travel to other locations in the Diocese of Phoenix. This job may include filing and would require the ability to lift files, open filing cabinets and bend or stand as necessary.
