Description

As our Executive Assistant and Marketing Associate, you’ll play a key role at the heart of our firm — helping the President stay organized and effective, while also supporting strategic marketing efforts alongside our Marketing Department. This dual role is ideal for someone who’s detail-oriented, creative, and enjoys variety in their workday.
This hybrid role will serve as the Executive Assistant to the President while also supporting firm-wide marketing initiatives in collaboration with our Marketing Department.
The primary purpose is to provide high-level administrative support to the President while simultaneously assisting in the execution of the firm’s marketing initiatives, ensuring both leadership operations and marketing strategies run smoothly and effectively.

Responsibilities

The Executive Assistant to the President will be responsible for managing daily schedules, communications, and high-priority projects to ensure the President’s time and focus remain on strategic priorities.

  • Manage and maintain the President’s calendar, including scheduling meetings, resolving conflicts, setting reminders, and coordinating travel arrangements.
  • Monitor and respond to the President’s email inbox, prioritizing messages and drafting responses as needed.
  • Serve as the first point of contact for internal and external communications on behalf of the President.
  • Support the President in project tracking, follow-ups, and completion of internal and external initiatives.
  • Draft, edit, and proofread correspondence, reports, presentations, notes, and client-facing materials.
  • Take comprehensive notes during meetings and manage follow-up action items.
  • Maintain confidentiality of sensitive information at all times.
  • Coordinate with leadership and departments on special projects or cross-functional initiatives led by the President.
  • Assist in sales operations, CRM updates, and internal reporting related to business development.
  • Continuing Education Events
  • Create and manage CE event timelines and planning schedules.
  • Submit CE event and presentation materials for state approval and accreditation.
  • Track and document CE credits for all attendees.
  • Draft and send email reminders and event communications to participants.
  • Assist in developing or formatting presentation materials for CE sessions.
  • Ensure the President and/or sales staff are prepared and fully set up for each event.
  • Coordinate logistics and provide onsite or virtual support during the event, as needed.

Additionally, this position will sit in our reception area and will be responsible for serving as the first point of contact for incoming calls and visitors. Responsibilities include answering and directing phone calls, managing mail and deliveries, supporting daily office operations, and maintaining the cleanliness and organization of shared spaces. This role is essential in creating a professional and welcoming environment for clients, guests, and team members.
