DESCRIPTION

Executive Assistant
Vancouver-based company is seeking a permanent Executive Assistant to join the team.
Competitive salary ranging from $85-90K + Benefits

Responsibilities:

  • Provide senior level administrative support to the CEO of the company on a variety of tasks
  • Facilitate seamless communication and coordination for administrative functions related to the Executives work, including: email correspondence, calendar management and scheduling appointments and other correspondence
  • Calendar management and scheduling, coordinating internal and external appointments, and ensuring the highest priority matters are addressed
  • Coordinates implementation plans and activities to accomplish objectives.
  • Preparing and coordinating the preparation of materials for meetings internal and external to the organization.
  • Serve as the primary point of contact between the CEO, President, and key internal/external stakeholders, including investors, senior leadership, and external partners.
  • Arrange complex travel itineraries (both business and personal), ensuring smooth and efficient travel experiences, including accommodations, transportation, and any special requests.
  • Act as a gatekeeper, protecting the CEO’s time by prioritizing and filtering requests, ensuring that only critical issues reach their desk.
  • Oversee the submission, tracking, and approval of expense reports, ensuring accuracy and compliance with company policies
  • Personal Assistance: Handle personal errands, including driving as needed, to support the CEO and President

The Successful Candidate will have:

  • 5+ years’ experience working as an Executive Assistant
  • Experience with MS Office suite; including Outlook, Word, and Excel
  • Excellent oral and written communication skills
  • Professional with great attention to detail in work
  • Effective organizational and time management skills with the ability to multitask in a fast paced environment
  • Ability to work with confidential information
  • You hold a valid and clean Class-5 driver’s license, ready to assist with occasional personal driving duties.
