Description

EXECUTIVE ASSISTANT TO MANAGING PARTNER COMMERCIAL REAL ESTATE | M&A ADVISORY FIRM

We are a nationally active firm with a strong presence in high-value transactions, private capital advisory, and strategic growth initiatives. As we continue to scale, we are seeking a highly capable, discreet, and proactive Executive Assistant to serve as the right hand to our Managing Partner (“MP”).
This is not a general office administrative role. It requires exceptional communication judgment, organizational command, and professional presence. You will serve as the gatekeeper, project manager, and executive-level proxy for the Managing Partner — overseeing internal and external communications, providing corporate and personal level support, managing time and priorities, and serving as a key facilitator to and for the MP.

Responsibilities
  • Serve as the right hand to the Managing Partner, providing a broad range of high-level confidential support – both corporate and personal.
  • Act as the primary point of contact for the MP, serving diplomatically as a liaison between internal teams and external parties, while upholding and promoting strong, respectful, and positive relationships across all interactions.
  • Proactively monitor division-level key metrics and provide timely periodic reports or data summaries to support the Managing Partner’s oversight and decision-making.
  • Manage all MP schedules, priorities, and communications, and delegate to other staff members as needed.
  • Manage, screen, and respond to communications for, and on behalf of the MP (calls, email, calendar, text, LinkedIn, etc.).
  • Assist with preparing, proofreading, and reviewing contracts, NDAs, LOIs, and other legal forms and documentation.
  • Manage calendar coordination, travel arrangements, meeting preparation, and facilitation.
  • Help organize, delegate, and make reservations for events and meetings.
  • Perform follow-up actions and maintain records of key interactions with clients, partners, and internal stakeholders.
  • Research and prepare business reports and presentations, as well as assist with marketing materials and marketing projects as needed.
  • Handle confidential materials and communications with the utmost discretion.
  • Manage and coordinate special projects for the MP.
  • Manage MP records, filing, and database updates.
  • Plan and manage client and employee recognition programs/awards.
  • Be a champion of our values, integrity-first culture, and servant-leadership mindset
