Reporting to the VP Decision Evaluation & Transaction Analysis, this opportunity will suit someone who has prior Executive Assistant experience, is highly organised and can thrive in a global, dynamic, fast paced environment. In this position you will provide administrative and operational support with responsibilities including:

  • Executive diary and inbox management: proactive management of diaries and inbox, scheduling of internal and external meetings with senior executives (including the BHP executive leadership team) and related logistics and agenda preparation with a demonstrated ability to autonomously prioritise commitments along with managing stakeholder expectations;
  • Reconciliation and submission of executive monthly expenses, ensuring alignment with BHP business expense policy;
  • Booking and management of flights, transfers, visas and accommodation, ensuring cost effectiveness;
  • Raising purchase orders;
  • Supporting and coordinating the cadence and operating rhythm of the teams; arranging team events and catering; and communicating general updates with the teams as needed;
  • Coordination and preparation of presentation materials for Townhalls and team events;
  • Confidential Information Management: handle sensitive and confidential information with discretion and professionalism;
  • Assist in the scheduling of preparation and review of Board and Board committee papers in line with required timelines;
  • Monitoring and follow up of mandatory team training obligations;
  • Problem solving and initiative: anticipate challenges and offer creative solutions to support the smooth operation of the day-to-day team activities
