GENERAL FUNCTION / SUMMARY

The Executive Assistant plays a vital role in managing company-wide scheduling, travel coordination, event support, and administrative functions. This position serves as the primary contact for company event-related inquiries, assists with payment arrangements for Advisory, and ensures smooth office operations through administrative and office management tasks.

BASIC QUALIFICATIONS

  • Bachelor’s degree in business administration, or a related field preferred.
  • 3+ years of experience in executive or administrative support; experience in the travel agency industry is highly preferred.
  • Strong attention to detail, organizational and time management skills.
  • Proficiency in Microsoft Office Suite and scheduling software.
  • Attention to detail with the ability to multitask in a fast-paced environment.
  • Excellent communication and problem-solving skills.

Responsibilities
  • Organize and manage domestic travel arrangements for CEOs and all employees, including flight bookings, accommodations, and itineraries.
  • Coordinate schedules for seminars, company events, and internal meetings to ensure seamless execution.
  • Serve as the main point of contact for company event-related questions, assisting employees and external partners as needed.
  • Handle payment arrangements for Advisory, including rent, commission, and other financial obligations.
  • Assist in processing invoices, reimbursements, and financial documentation related to corporate events and office operations.
  • Perform data entry, record-keeping, and maintain accurate documentation for compliance and tax filing purposes.
  • Oversee office supply procurement and inventory management to support daily operations.
  • Provide general administrative support to ensure efficient workflow within the Secretariat department.Perform other tasks as assigned.
