Executive Assistant (Bilingual, Québec French + English), CEO Support & Deal Coordination Location: Location, Cambridge, ON (On-site) … frequent travel to Montréal, Québec Employment Type: Full-Time Reports to: CEO ROLE SUMMARY We’re hiring a highly capable, bilingual Executive Assistant to support the CEO of a fast-moving national manufacturing and project delivery company. This is a high-trust role with real responsibility. You’ll manage communications, scheduling, follow-ups, documentation, and coordination where Montréal, Québec is a key part of our near-term focus. If you’re the kind of person who sees what needs to happen next, takes ownership, and drives things to completion without being chased, you’ll do well here. KEY RESPONSIBILITIES • Own the CEO’s calendar, scheduling, travel planning, meeting prep, and daily priorities. • Draft, translate, and polish communications in Québec French and English (email, memos, meeting recaps, requests). • Attend select meetings in Montréal to capture notes, decisions, and action items … then drive follow-ups to completion. • Support M&A and special projects from an admin and coordination standpoint (document tracking, request lists, data room organization, version control, deadlines). • Act as a “control tower” across multiple stakeholders … ensuring work moves forward and nothing stalls. • Build repeatable systems … templates, trackers, checklists, and clean file structures. • Handle confidential information with discretion and good judgment. • You bring clarity and structure to chaos. • You anticipate issues before they become problems. • You move fast without sacrificing accuracy. • You communicate clearly and professionally in both languages. • You protect the CEO’s time and focus. REQUIRED QUALIFICATIONS • Fully fluent in Québec French and English (written + spoken) … mandatory. • Executive Assistant experience supporting senior leadership in a high-tempo environment. • Excellent writing skills … you can produce clean, professional emails and summaries quickly. • High judgment, discretion, and comfort handling sensitive information. • Strong organization and follow-through … you don’t drop balls. • Tech confident … Microsoft 365 (Outlook, Teams, Excel, Word) and quick to learn new systems. • Comfort with frequent travel to Montréal, Québec as required. REQUIRED QUALIFICATIONS • Experience supporting an owner/CEO. • Experience coordinating legal, finance, or transaction-related documentation. • Experience building systems, templates, and operating rhythms.
