POSITION OVERVIEW

We are seeking a highly organized and detail-oriented Executive Assistant with over 10 years of experience in administrative support, process optimization, and cross-functional collaboration. The ideal candidate is proficient in Microsoft Office and Adobe, with a proven ability to enhance team performance and ensure compliance in diverse environments.

QUALIFICATIONS

  • Education: High School Diploma required; additional certifications in Human Resources Management and Executive Administration preferred.
  • Technical Skills: Proficiency in Microsoft Office, QuickBooks, and Adobe preferred.
  • Experience: Strong organizational skills, attention to detail, and ability to adapt to varying roles and software. Experience in bookkeeping, payroll, and human resources functions desired.
  • Communication: Excellent communication and customer service skills.
  • Professional Development: Ability to investigate and coordinate continuing education and training opportunities.

Responsibilities
  • Administrative Support: Provide comprehensive administrative assistance to executives and team members, including scheduling meetings, organizing agendas, and managing correspondence.
  • Process Optimization: Coordinate cross-functional collaboration to streamline processes and improve resolution times.
  • Onboarding & Training: Onboard and train new employees in firm processes, software, and systems to ensure smooth transitions and enhanced team performance.
  • Information Management: Investigate and clarify information provided by coworkers and clients, ensuring accuracy and compliance.
  • Workflow Management: Manage workflow across departments, ensuring goals are met and client communication is maintained.
  • Resource Organization: Organize and maintain department resources, including SharePoint and other knowledge management systems.
  • Software Implementation: Implement and customize new software to match department needs, offering guidance and training on systems used.
  • Bookkeeping: Handle bookkeeping tasks, including accounts payable/receivable, bank reconciliation, and payroll processing.
  • Human Resources Support: Assist with human resources functions, such as onboarding, employee file maintenance, and training coordination.
  • Legal Documentation: Craft and file essential legal documents with regulatory agencies, ensuring compliance and timely submissions.
  • Customer Service: Provide friendly customer service and act as the first point of contact for clients and team members.
