POSITION OVERVIEW:

We’re seeking a multi-talented Executive Assistant who can balance traditional administrative support with thoughtful coordination across multiple projects, businesses, and people. You’ll help manage the day-to-day flow for a fast-moving leadership team—handling everything from corporate documents to celebration planning.
This is more than a scheduling role. It’s about bringing a level of care and follow-through that strengthens our internal culture and external relationships. If you’re organized, empathetic, proactive, and detail-driven, you’ll be a powerful force on our team.

QUALIFICATIONS:

  • 3+ years of experience in executive support, office coordination, or project administration
  • Excellent communication, organization, and multitasking skills
  • Proactive mindset with a strong sense of follow-through
  • Proven ability to manage sensitive documents and legal or contractual material
  • Comfortable working across multiple teams, businesses, or lines of communication
  • Tech-savvy and efficient with digital tools (Google Workspace, Microsoft Office, project trackers)
  • Warm, relationship-driven approach to work and people
  • Experience in construction, real estate, or multi-entity business environments is an asset
  • Experience managing a delegated inbox considered an asset
Responsibilities
  • Manage executive calendars, coordinate meetings, and handle travel logistics
  • Draft and manage communications, reports, and internal documents
  • Organize and file corporate records, contracts, and legal agreements across multiple companies
  • Assist with HR and operational workflows including onboarding, policy tracking, and logistics
  • Track and support projects across Bretoba’s broader business portfolio
  • Plan staff appreciation efforts, social events, gift-giving (e.g., birthdays, retirements, milestones)
  • Be the “eyes and ears” on the little things that matter—helping leadership follow through on what matters to our people and partners
  • Act as a consistent, reliable point of contact for staff, vendors, and clients when leadership is unavailable
  • Maintain a high level of confidentiality, judgment, and discretion in all work
