Description

At Horizon Nexus Partners, we're building something different.

We're a modern professional services firm with an ambitious vision to become Australia's pre-eminent advisor to the Private Plus market. We combine deep technical expertise with a collaborative, people-first culture where every team member has the opportunity to make a genuine impact.

We're looking for an experienced and highly organised Executive Assistant to join our Brisbane team, providing high-level support to the Managing Partner and broader leadership team, while also playing a lead role in the day-to-day running of the Brisbane office.

This is more than a diary-management role. You'll become a trusted partner to senior leaders, helping them navigate competing priorities, follow through on decisions, and stay focused on delivering exceptional outcomes for clients and the business. Alongside this, you'll be the person who keeps the office itself running - from helping to onboard new starters to managing supplier and facilities issues to pulling off a great firm event.

You'll need to be someone who can stay one step ahead, spot what needs to be done before you're asked, and bring calm, structure and professionalism to a fast-paced environment.

What you'll do

  • Managing Partner & leadership supportProvide high-level executive support to the Managing Partner and Partners, becoming a trusted, reliable point of contact.
  • Support calendar management and competing priorities, including scheduling meetings, supporting inbox management, coordinating logistics and booking meeting rooms.
  • Track projects and follow-up actions arising from leadership meetings, ensuring agreed items are actioned and nothing falls through the cracks.
  • Prepare and format high-quality documents, including letters, reports, proposals, correspondence and other client-facing materials for Partners.
  • Coordinate travel arrangements, including flights, accommodation, itineraries and other logistics as required.
  • Build trusted relationships with Partners, clients and key stakeholders across the business.

  • Onboarding & offboardingSupport in coordinating the local onboarding process end-to-end, including Day 1 meet-and-greet, office walk-around, and desk/IT setup problem-solving.
  • Coordinate with cross-functional teams (IT, P&C, Facilities) to ensure onboarding and offboarding tasks are completed.

  • Culture, events & local connectionSupport Town Halls and local connection initiatives, helping build a strong sense of team and firm culture in the Brisbane office.
  • Own the annual calendar of office events and welcome activities, including Melbourne Cup, Christmas, EOFY, Lunch & Learns and similar.
  • Support client events, working closely with the Marketing team to coordinate engaging and seamless experiences.
  • Manage event budgets, ensuring activities are delivered on brief and within budget.

  • Office & facilities managementAct as the primary point of contact for landlord and building management matters for the Brisbane office.
  • Manage relationships with local suppliers, and coordinate quickly and calmly in response to outages or facilities issues.
  • Own front-of-house management, ensuring a professional and welcoming experience for visitors and clients.
  • Coordinate Town Hall and broader meeting arrangements, including logistics for larger firm-wide gatherings.
  • Support facilities coordination for the Townsville office as required.

  • Team collaborationCollaborate across the Administration and Support teams to ensure a consistent, responsive and sea
