This Role The Executive Assistant plays a key role in supporting the Senior Pastor by providing high-level administrative, strategic, and ministry support. This position ensures the Pastor’s time, communication, and priorities are effectively managed, allowing them to focus on leading the church and its ministries at the highest level. Primary responsibilities include managing schedules, coordinating travel, budgets, local events, TLC schedule and guests while serving closely alongside the Executive Pastor on initiatives. This role requires exceptional organizational skills, professionalism, discretion, and the ability to support both the operational and ministry goals of Pillar Church. Primary Responsibilities & Tasks Manage the Pastor’s schedule, appointments, and travel arrangements. Handle confidential correspondence and sensitive information with discretion. Handle, track, record, and submit receipts, invoices, POs as well as other budget elements with great detail in order to have smart bookkeeping. Prepare reports, presentations, and documents for meetings. Coordinate and manage special projects as assigned by the Executive Pastor. Assist in planning and organizing some events and leadership meetings including those with the Elders. Screen and prioritize incoming requests and inquiries directed to the Pastor by working directly with the Executive Pastor. Oversee administrative functions to ensure seamless office operations. Maintain organized records of key ministry activities and engagements. Order and maintain needed supplies and hospitality items (drinks, protein bars, etc.) for the Senior Pastor. Assist the producer of TLC with scheduling, reserving lodging when necessary, meals, payment, and some hosting at studio. Strengths & Skillsets Strong organizational and time-management skills. Excellent written and verbal communication skills. Strategic in establishing systems to make the Executive Office function more effectively. Ability to maintain confidentiality and handle sensitive matters with discretion. Proficiency in Microsoft Office Suite and Google Workspace. Strong problem-solving skills and ability to work under pressure. Highly self-motivated and proactive. Ability to manage multiple tasks and projects simultaneously. Strong interpersonal skills and ability to work well with diverse teams. Experience in administrative support roles, preferably in a church or nonprofit setting. A heart for ministry and a commitment to serving in alignment with the church’s mission. Your Team This position will report to the Executive Pastor | Business Administration. This position has no current staff supervisory responsibilities. Your Schedule This is a part-time, salaried position. Weeks will consist of a 20 hour work week (up to 25 – hours during certain seasons or special projects). Throughout the year, there are special monthly and quarterly staff obligations, and attendance is mandatory, including monthly staff chapel.
