Description

We are seeking a proactive and organized personal assistant with 1-3 years of UAE-based experience in public relations officer (PRO) services, accounts, and general administrative tasks such as billing. This role supports senior management and ensures smooth operations by managing administrative, financial, and compliance-related tasks with professionalism and efficiency.

Key Responsibilities

  • PRO Services: Handle visa processing, work permits, and trade license renewals, ensuring compliance with UAE government regulations (e.g., Ministry of Labour, Immigration Department).
  • Accounts Support: Assist with basic bookkeeping tasks, including invoice preparation, expense tracking, and coordination with the Accounts and Finance team for financial reporting.
  • Billing and Invoicing: Manage client billing processes, issue invoices, follow up on payments, and maintain accurate billing records in compliance with UAE VAT regulations.
  • Administrative Support: Schedule meetings, manage calendars, prepare correspondence, and coordinate travel arrangements for senior management.
  • Document Management: Maintain and organize confidential documents, including client contracts, financial records, and compliance certificates.
  • Client Coordination: Act as a point of contact for clients, addressing inquiries related to tax consultancy, business setup, or billing with professionalism.
  • Compliance Assistance: Support adherence to UAE regulations, such as AML and economic substance reporting, by preparing necessary documentation.
  • Ad Hoc Tasks: Perform additional duties as required, including event coordination, CRM updates, and support for business development initiatives.

Qualifications

  • Experience: 1-3 years of UAE-based experience in PRO services, accounts, or administrative roles, preferably in a tax consultancy, business setup, or financial services firm.
  • Knowledge: Familiarity with UAE government procedures (e.g., visa processing, trade licenses), basic accounting principles, and VAT-compliant billing processes.
  • Skills: Strong organizational and multitasking abilities, excellent communication, and proficiency in Microsoft Office (Excel, Word) and accounting software (e.g., QuickBooks, Xero).
  • Language: Fluency in English; proficiency in Arabic or Hindi is a plus.
  • Attributes: Detail-oriented, proactive, and able to handle confidential information with discretion.
  • Education: Bachelor’s degree in business administration, finance, or a related field preferred; relevant certifications (e.g., PRO training) are an advantage.
  • Visa Status: Valid UAE residence visa with eligibility to work.
