JOB REQUIREMENTS:

  • Ability to set up meeting spaces, including arranging furniture, configuring audio-visual equipment, and ensuring teleconferencing tools are operational, which may require lifting or moving objects up to 25 lbs.
  • Must be able to sit for extended periods and perform repetitive tasks
  • Some travel may be required for meetings, events, and board activities
  • Must pass all required screenings

JOB QUALIFICATIONS:

  • Bachelor’s degree preferred; equivalent experience considered
  • Minimum of 5 years of executive-level administrative support, ideally in a nonprofit
  • Experience supporting boards and senior leadership strongly preferred
  • Advanced proficiency in Microsoft Office Suite and virtual meeting platforms (e.g., Zoom, Teams)
  • Strong written and verbal communication, organizational, and time-management skills
  • Self-motivated, solutions-oriented, and able to work independently with integrity and initiative
    Job Type: Full-time
    Pay: $17.00 - $24.00 per hour
    Expected hours: 35 per week

Responsibilities

JOB PURPOSE:

The Executive Assistant provides high-level administrative support to the Executive Director and Board of Trustees. This role requires a proactive, detail-oriented, and resourceful individual who can manage multiple priorities with discretion and professionalism. The ideal candidate is a self-starter, a strong problem-solver, and highly proficient in technology and Microsoft Office Suite. The Executive Assistant coordinates executive communications, supports board governance activities, manages office operations for senior leadership, and ensures the smooth execution of meetings and events.

JOB RESPONSIBILITIES:

  • Manage the Executive Director’s calendar, travel arrangements, and communications
  • Coordinate meetings and events for staff, leadership, and the Board of Trustees
  • Prepare meeting agendas, presentations, reports, and other materials
  • Set up and manage teleconferencing and virtual meeting platforms
  • Act as a liaison between the Executive Director and internal/external stakeholders
  • Serve as the main point of contact for the Board of Trustees and support governance activities
  • Maintain accurate board records, meeting minutes, and required compliance documentation
  • Track deadlines, agency projects, and board member responsibilities
  • Assist with office operations, including supplies, equipment, and vendor coordination
  • Support accounts payable tasks and forward agency payment requests to Finance
  • Draft and distribute internal communications on behalf of senior leadership
  • Maintain electronic filing systems and handle confidential information with discretion
