As Shamal Holding continues to grow, we’re in search of an Executive Assistant – CEOs Office (Temp Role). In this role, you will provide high level administrative support and ensure the smooth and efficient operation of the CEOs Office, this includes managing schedules, coordinating meetings, handling correspondence, preparing reports and performing a variety of tasks that facilitate coordinating CEO Office activities, and serve as a liaison between different departments to facilitate effective communication and collaboration. Responsibilities Manage the CEO’s calendar, prioritising commitments and resolving scheduling conflicts. Coordinate communications to and from the CEO, ensuring timely responses and follow-ups. Prepare and coordinate all CEO meetings, including agendas, scheduling, venues, and logistics. Record meeting decisions and action items; track progress and ensure closure. Track tasks and initiatives delegated by the CEO across departments and follow up on execution. Arrange domestic and international travel, accommodation, and itineraries. Manage expense tracking and submissions for the CEO. Coordinate visitor access to Shamal offices, including parking and security. Maintain accurate and confidential records, files, and document repositories for the CEO Office Execute administrative tasks independently, using sound judgment and discretion. Track annual leave for key stakeholders interacting with the CEO. Manage office supplies and related administrative requirements for the CEO Office. Improve CEO Office processes to support efficiency and effectiveness. Support ad-hoc requests and special assignments from the CEO. Maintain strict confidentiality and professionalism at all times. Qualifications High school diploma; additional qualifications in Office Administration are a plus. Up to 5 years of experience as an Administrative Officer, Administrator or similar role.
