This role will be based out of our Edinburgh office, but this is a hybrid role where you can also work from home a few days per week

Responsibilities

YOUR FUTURE DUTIES AND RESPONSIBILITIES

Based in our Edinburgh office with hybrid working flexibility, this role supports Vice Presidents (VPs) and the wider leadership team within our Scotland and Northern Ireland Business Unit. You’ll play a key role in supporting our executive team within the business unit. You’ll be ensuring they have the support to help them focus on delivering day-to-day operations and the successful delivery of strategic programmes withing the business unit.

Key Responsibilities:

  • Calendar and diary management for senior leadership
  • Coordination and scheduling of meetings and events
  • Travel and accommodation arrangements
  • Procurement of business-related items and managing eProcurement approvals
  • Submission and approval of holiday requests and timesheets via internal HR portals
  • Maintaining internal visibility tools and dashboards
  • Desk and room bookings
  • Expense processing for partners and leadership
  • Event planning and catering coordination as required
  • Support for governance meetings led by VPs
  • General administrative support and handling of ad hoc requests

REQUIRED QUALIFICATIONS TO BE SUCCESSFUL IN THIS ROLE

  • Previous experience as a Personal Assistant or Executive Assistant is preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organisational skills, attention to detail, and the ability to manage multiple priorities
  • A proactive, flexible, and professional approach
