KEY QUALIFICATIONS:

  • Considerable experience providing administrative support in a professional environment, preferably within public health, healthcare, or government.
  • Strong organizational skills and attention to detail, with experience managing calendars, coordinating meetings, and preparing documents.
  • Excellent time management skills, with the ability to set priorities, meet deadlines, and work effectively with minimal supervision.
  • Excellent written and verbal communication skills, with the ability to prepare clear written correspondence and information in a timely manner.
  • Demonstrated discretion and sound judgment in handling confidential or sensitive information.
  • Ability to provide work direction to other support staff.
  • Strong interpersonal skills and a customer service orientation, with a commitment to building positive working relationships.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and calendar management tools.
  • Familiarity with public health terminology, programs, or services is an asset.

Responsibilities

As an Executive Assistant in the Office of the Medical Officer of Health (MOH), you will play a key role in supporting the delivery of public health services across Toronto by providing high-quality administrative support to the Medical Officer of Health and the senior leadership team at Toronto Public Health. This position is central to ensuring an organized, responsive, and well-functioning executive office that contributes to the health and well-being of Toronto’s diverse communities.
You will serve as a primary point of contact for the MOH’s office, managing a broad range of administrative responsibilities with discretion and a proactive mindset. Your ability to stay organized, communicate clearly, and adapt to changing priorities will be essential in supporting a dynamic public health environment.
With experience in providing administrative support in fast-paced, service-oriented settings, you are comfortable managing calendars, coordinating meetings, and handling sensitive information with sound judgment and confidentiality. You are a clear communicator and a detail-oriented professional who can ensure the MOH is well prepared for all meetings, briefings, and events.
You are self-motivated and able to manage your time effectively while advancing multiple priorities. You bring a strong customer services orientation and a desire to support others, contributing to a respectful and inclusive workplace culture.
