Responsibilities

We are looking for an EXECUTIVE ASSISTANT who can help shape our vision and support our mission. Here is what the position will look like.

  • Coordinates all administrative details for executive leadership team members.
  • Maintains the calendars, schedules meetings and manages meeting logistics, organizes in-state and out-of-state travel arrangements.
  • Prepares a wide range of reports, spreadsheets, presentations, memos and correspondence.
  • Coordinates all activities and details for internal and external meetings and engagements including weekly staff meetings, offsite meetings and conference calls. This includes reserving conference rooms, scheduling caterers, inviting attendees, creating agendas and preparing written documentation/presentations.
  • Works closely with the Executive Leadership Team and managers across the organization.
  • Prepares and submits executive expense reports to Accounting for processing.
  • Manages special projects as assigned.
  • Organizes and maintains confidential files. Establishes and maintains document management systems.
  • Reviews, organizes and distributes incoming and outgoing mail for the Executive Leadership Team.
