SKILLS & EXPERIENCE:

  • 6+ years C-suite level Executive Assistant experience.
  • Skilled in spotting efficiencies, regularly sharing best practice and implementing time or cost-efficient practices.
  • Build networks and relationships across the wider organization, and understand interconnectivity and complexities, a trusted member of the GQO leadership team.
  • Possess quick decision-making skills, diplomacy, tact, discretion, sensitivity, exceptional communication skills.
  • Ability to think strategically and holistically, work with autonomy.
  • Takes responsibility for further self-learning, seeks development opportunities.
  • Fully conversant with Concur, SAP, Workday, FirstUp, comms software. Superuser Microsoft office and related apps.

QUALIFICATIONS/EDUCATION:

  • Degree / diploma level.
  • EA related accreditation and CPD.

TRAVEL REQUIREMENTS:

  • Position may involve travel up to 10% of the time. Most trips may include overnight travel.
Responsibilities

ABOUT THE ROLE:

C-suite level support to the Executive Vice President of Quality & Operations and the Global Quality and Operations (GQO) leadership team. Proactive, thoughtful, and appropriately prioritized management of Executive Vice President of Quality & Operations‘ schedule; requires understanding of both company and GQO strategy and priorities and the ability to keep an agile and flexible mindset with day-to-day tasks. Broad reach across the company including with Board of Directors and Convetec Executive Leadership Team (CELT) and requires close working relationships with the global operations network as well as all corporate functions.

YOUR KEY DUTIES AND RESPONSIBILITIES:

  • All matters relating to CELT member’s time management and logistics, with a deep understanding of priorities to enable the team to fulfil all objectives.
  • As the voice of the GQO office, must be conversant and knowledgeable about our corporate objectives and be able to manage and prioritize a demanding workload with minimal direction – must be highly autonomous with a proactive and holistic approach.
  • Manage sensitive matters with total discretion and ensure confidentiality is respected within the team.
  • Complex executive travel logistics planning, subsequent expense reporting, and overseeing adherence to policies across the global team.
  • Manage multiple calendars, competing priorities and complex schedules across all time zones.
  • Compile, track and follow up on actions related to Key Performance Indicators (KPIs) and strategic initiatives.
  • Research, plan and execute large-scale events - excellent negotiating skills and ability to interact effectively with suppliers. Manage all offsite meetings and event s. Seek opportunities for simplification for the team, saving time and costs.
  • Manage GQO master calendar, in alignment with corporate calendar, and related governance.
  • Support compliance and the rollout of new processes and tools by training colleagues and being an early adopter and role model.
  • Collaborate with Corporate Affairs team on GQO communications and media.
  • Collaborate with Company secretariat function on Board meeting prep.
  • Collaborate with CELT and CELT Executive Assistants, advise colleagues on related policies, and provide ad hoc support for other GQO LT members.
  • Responsible for all GQO announcements and communications – crafting and editing announcements and assigning timelines; key stakeholders include Corporate Affairs, Business Unit Presidents, and cross-functional Vice Presidents.
  • Coach and support team of GQO administrators - host collaboration meetings to offer training and guidance, explaining our policies and our corporate strategy, promoting, and living our values and managing any difficulties or disputes. Ensure that the team is inclusive and accessible, and that it contributes positively to our values.
