POSITION SUMMARY The Executive Assistant serves as a key partner to our senior leadership team in the Nashville office by providing high-level administrative, coordination, and organizational support.  In addition to supporting executive leadership team, this role will assist with various employee engagement initiatives, marketing coordination, and certain personal-assistant tasks.    PRIMARY DUTIES AND RESPONSIBILITIES include the following: Manage the executives’ calendars, including scheduling, rescheduling, and prioritizing meetings. Coordinate all travel arrangements (flights, hotel, transportation – commercial and private) for executives and company-related personal events Prepare executive itineraries, agendas, travel packets, and materials for meetings and events as needed Handle expense reports, reimbursements, corporate credit card tracking, and monthly reconciliations Take meeting notes and prepare summaries, action items, and follow-ups Draft and edit executive presentations, talking points, and internal communications as necessary Assist with personal schedule requests as needed (dinner reservations, special events, etc.) Create and coordinate hospitality graphics, signage, and event-related materials, support marketing with minor design, proofreading and logistics Manage inventory and coordination of promotional items, supplies, and internal communication material for executive events Work closely with HR to assist with various employee engagement activities, office tournaments, etc. Assist with office needs such as scheduling repairs, maintenance, cleanings, and generally coordinating other needs with office vendors. Other duties as assigned. SUPERVISORY RESPONSIBILITIES None. EDUCATION AND/OR EXPERIENCE High School diploma or a Bachelor’s degree in business, administration, or a related field 2 or more years office administration experience and/or supporting executives or senior level leaders in a fast-paced environment Experience with event coordination, travel planning, or marketing support is preferred OTHER SKILLS Strong interpersonal skills; exceptional attention to detail; high level of professionalism, discretion, and confidentiality, strong written and verbal skills, Ability to prioritize and manage multiple tasks with shifting deadlines, ability to communicate effectively with a diverse range of individuals; good judgment; proficient with Word and Excel; ability to work effectively with others WORK ENVIRONMENT Position is in an office setting that involves everyday risks or discomforts requiring normal safety precautions.
