THE POSITION

Digital Shovel is seeking an Executive Assistant to provide high-level, strategic executive support. This role requires a seasoned professional who thrives in a fast-paced environment, anticipates needs, and contributes to the efficiency and success of an Executive’s office. You will work closely with the Chief of Staff, Director of Operations, and the current EA to ensure seamless operations and alignment across the organization.
Your hours will be 8:00 am to 5:00 pm Monday to Thursday on-site, and 9:00 am - 2:00 pm on Fridays remote. Occasional travel to national and international conferences and events may be required.

Qualifications and Experience:

  • A bachelor’s degree in management, business, or an equivalent field OR a diploma with equivalent experience.
  • 5+ years of experience supporting C-level executives, preferably a founder/CEO in a start-up environment.
  • Exceptional command of core MS Suite / G Suite products, and the ability to learn new technology with ease.
  • Ability to think critically, anticipate needs, and contribute to high-level decision-making.
  • Experience managing projects with multiple stakeholders and tight deadlines.
  • Strong organizational and time-management abilities, with a keen eye for detail.
  • Exceptional written and verbal communication skills, with the ability to draft high-quality correspondence.
  • Ability to work well with others and handle a variety of personalities and work styles.
  • Demonstrated ability to handle sensitive and confidential information with integrit

Responsibilities
  • Anticipate need, manage priorities, and ensure an Executive’s time is optimized for maximum impact.
  • Lead and manage critical initiatives under the direction of an Executive, ensuring deliverables are met on time and within scope.
  • In collaboration with the EA, strategically manage the executive team’s complete schedule, balance priorities and ensure seamless coordination of meetings and events.
  • Prepare agendas, take detailed notes, and ensure follow up actions are tracked and executed.
  • Manage tasks and projects across multiple verticals ensuring that progress is made on set timelines.
  • Identify challenges and propose solutions, to ensure the smooth and effective running of an executive office.
  • Manage sensitive information with the utmost professionalism and confidentiality.
  • Provide ad hoc support for both professional and occasional personal tasks, ensuring nothing falls through cracks.
  • Other duties as assigned.
