Responsibilities:

ABOUT THE ROLE

We are seeking a highly organised and proactive Executive Assistant to provide comprehensive support to the Director and Business Unit Managers. You will play a pivotal role in driving collaborations and ensuring smooth operations within the Planning directorate to meet strategic outcomes. This is a key position where you will work closely with stakeholders to implement strategic initiatives and coordinate important projects to ensure service delivery and excellence.

MAIN RESPONSIBILITIES

  • Provide day-to-day administrative and project support to the Director and Business Unit Managers.
  • Coordinate meetings, prepare agendas, take minutes, and manage meeting logistics.
  • Act as a liaison between the Director, CEO, Mayor and other staff, ensuring effective communication and follow-up on critical actions.
  • Coordinate and draft reports, correspondence, and briefing materials on behalf of leadership.
  • Support the development and implementation of key strategic plans, including the Corporate Business Plan and Long-Term Financial Plan.
  • Manage sensitive information with discretion and maintain a proactive, customer-focused approach.

TO BE SUCCESSFUL IN THIS ROLE, YOU WILL POSSESS THE FOLLOWING ESSENTIAL REQUIREMENTS:

  • Tertiary qualification in a related field.
  • Minimum 3-5 years’ experience in a similar senior role.
  • Strong analytical skills with ability to interpret data and translate it into actionable strategies.
  • High level computer literacy and competency in office software systems skills in a broad range of “Microsoft Office” and in-house applications.
  • Strong oral and written communication skills with the ability to interact and build relationships to effectively influence across teams and various business units.
  • Highly developed negotiation and conflict resolution skills.
  • High level coordination and judgement skills to prioritise and manage directorate resources to effectively and efficiently meet organisational and directorate needs and objectives.
