Executive Assistant – Distribution
This is a great job for someone for someone with a strong sense of initiative, attention to detail, and a passion for enabling senior leaders to operate at their best.
A bit about the job:
We are seeking a dynamic and proactive Executive Assistant to join our Distribution team. This role supports a Director Level 3 (DL3) in a client-facing leadership position within one of our client channels. The ideal candidate will have experience supporting C-level executives, possess excellent communication and organisational skills, and thrive in a fast-paced environment. You will be the first point of contact for the Distribution team, managing diaries, emails, and meetings with precision. Your responsibilities will include prioritising correspondence, tracking cyclical and management deadlines, and ensuring timely follow-ups on key actions. You’ll prepare briefing materials, coordinate internal and external meetings, and manage complex international travel arrangements. Additionally, you’ll maintain efficient document systems, take meeting minutes, and support special projects and initiatives. Collaboration is key, as you’ll work closely with teams across Aviva Investors and provide ad-hoc support to fellow Executive Assistants when needed.
