Description
Job Purpose To provide high-level administrative and organizational support to the CEO, ensuring efficient management of executive activities, effective communication with internal and external stakeholders, and smooth coordination of strategic and operational priorities within the construction and energy business environment. Key Accountabilities • Deliver comprehensive administrative assistance to the CEO, including managing schedules, correspondence, and confidential documentation. • Organize and maintain the CEO’s diary, schedule meetings, prepare agendas, and ensure timely distribution of supporting materials. • Screen and manage incoming calls, emails, and correspondence on behalf of the CEO, ensuring professional and timely responses. • Maintain an organized and secure filing system for contracts, project documents, and confidential records. • Prepare presentations, reports, and briefing materials for board meetings, project reviews, and strategic sessions. • Arrange travel itineraries, accommodation, and transportation for the CEO and visiting executives. • Process expense claims, invoices, and purchase requisitions related to CEO’s office and departmental needs. • Act as a key point of contact between the CEO and internal teams (construction, operations, finance. etc) and external partners, ensuring professionalism and confidentiality. • Ensure adequate stock of office supplies for the CEO’s office and coordinate procurement as required. Qualification & Education: Education: Bachelor’s degree in Business Administration, Management, Accounting, Alsun, Arts or related field. Years of Experience: Minimum 10 years of experience as an Executive Assistant or Personal Assistant, preferably supporting C-level executives. Experience in construction, engineering, or energy sector is highly desirable. Computer/ Technical Skills: • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook). • Familiarity with document control systems and ERP tools (preferred). Language: Arabic & English Soft Skills: • Excellent organizational and time management skills. • Strong written and verbal communication abilities. • High level of discretion and confidentiality. • Ability to multitask and prioritize under pressure.
Responsibilities
The Executive Assistant will provide comprehensive administrative support to the CEO, managing schedules, correspondence, and confidential documentation. They will also coordinate communication between the CEO and various internal and external stakeholders.
