POSITION SUMMARY

Executive Assistant will provide support to the Executive Director in her administrative functions to ensure the program, services and operations are conducted smoothly for ehcw. Activities will include, but not limited to, attending to phone calls, monitoring time sheets, assist in preparing proposals and reports, filing, monitoring and reporting staff activities, sorting resumes, arranging new job interviews, orientation, supervision and training of students, volunteers and trainees. Executive Assistant will report directly to the Executive Director and familiarize with the policies and procedures relating to the operation, programs and services to support the Executive Director.

QUALIFICATIONS

· Bachelors Degree in Social Services or related field.
· Excellent in computer skills with proficiency in Microsoft Word, Excel, PowerPoint, and Publisher.
· Understanding of the use of social media, Zoom, Webex and other sources of virtual communications.
· Knowledge of filing procedures.
· Strong communication and telephone skills.

Responsibilities

LINES OF ACCOUNTABILITY

Executive Assistant reports to the Executive Director.

RESPONSIBILITIES

  • Provide support to Executive Director, and work in co-operation with program staff members
  • Taking care of all administration and office work as required by the Executive Director
  • Coordinate office activities
  • Answer phone calls and receive clients
  • Keep administration records in order
  • Work in a multicultural environment
  • Assist in compiling statistics and records for applications and reporting purposes
  • Assist in planning activities and events
  • Build data base of program activities
  • Report regularly to the Executive Director about day-to-day activities of the program
  • Assist Executive Director with proposals and reports;
  • Promote programs and services through the social media;
  • Build and maintain contacts with professional volunteers to facilitate development workshops;
  • Provide co-ordination and support to clients;
  • Ensure safety of staff, clients and visitors by maintaining an inclusive, conducive and welcoming atmosphere;
  • Monitor and report on Health and Safety matters of ehcw to the Executive Director
