SUMMARY

We are seeking an Executive Assistant to join our dynamic team at EM Dynamics. This new role will play a crucial role in helping our leadership team, based in Toronto, Canada, and navigate the operational setup of our new Texas location.
This role will coordinate essential activities such as connecting with lawyers, local trades and service providers, scheduling and managing on-site activities, assisting with vendor setups, and ensuring a smooth day-to-day administrative flow. Initially, the role will be primarily remote but requires proximity to Grand Prairie/Dallas in case of on-site needs. As the building continues to ramp up, there may be more requirements to be on-site.

REQUIREMENTS

  • Must reside within reasonable commuting distance to Grand Prairie/Dallas, TX
  • 3+ years of experience in administrative or operations support roles
  • Strong computer literacy with the ability to quickly learn new technologies: proficient in Microsoft Office Suite, Google Workspace, and remote collaboration tools
  • Strong organizational and time-management skills with a focus on detail and follow-through
  • Ability to handle multiple priorities and meet deadlines independently
  • Demonstrated leadership, initiative, and problem-solving ability
  • Familiarity with vendors, trades, and local business practices in Texas preferred
  • High level of discretion and trustworthiness
  • Comfortable working with minimal supervision and in a dynamic, cross-border environment
Responsibilities
  • Act as the administrative point of contact between Texas-based operations and Toronto leadership
  • Coordinate site-related needs such as internet setup, utilities, office furnishing, contractor/trade scheduling, and other operational logistics
  • Assist with scheduling meetings, calls, site visits, and managing calendars for executives
  • Represent EM Dynamics on-site as needed, acting as the “eyes and ears” of leadership
  • Track tasks and timelines related to the transition and report progress regularly
  • Assist with vendor communication and contract management
  • Organize and maintain records, files, invoices, and purchase orders
  • Support ongoing administrative needs of executives and operational leaders
