The Executive Assistant provides essential administrative support to members of our c-suite executive team. Responsibilities include, but are not limited to, calendar management, meeting coordination, travel arrangements, and general office support. This role requires attention to detail, effective time management, and strong communication skills.
This role is located at our Willowdale Asset Management Head Office in Vaughan, ON.

- Post-secondary education in administration or related field
- At least 3 years of experience in an administrative support role
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Effective written and verbal communication skills

What You’ll Be Doing Each Day
- Manage calendars in collaboration with other administrative staff, internally and externally, to coordinate scheduled meetings with internal and external clients
- Prepare agendas, document meeting minutes as required, and ensure timely follow up on action items
- Manage travel arrangements, accommodations, and itineraries, as well as completing expense reports
- Assist with document preparation, including formatting and editing presentations in PowerPoint
- Handle highly sensitive and confidential matters relating to the daily activity of the organization
