Description

FFAW-Unifor is seeking an Executive Assistant to the Secretary-Treasurer to join our team. This is a full-time, permanent position. This position will report to the Secretary-Treasurer and will be able to work in a fast paced, deadline driven environment. The successful candidate will be tasked with a wide variety of responsibilities including management of the Secretary-Treasurer’s calendar, scheduling meetings, confirming appointments, writing/editing documents, and arranging travel.

Responsibilities:

  • Prioritize incoming calls, media requests, correspondence including emails and invitations on behalf of the Secretary-Treasurer
  • Schedule meetings, compose, edit and finalize agendas and guest lists as well as send invites and book venues on behalf of the Secretary-Treasurer, executive board and councils
  • Maintain confidential information and ensure information is handled appropriately
  • Attend meetings including council meetings, to take notes and minutes, highlight action items and prepare and distribute minutes
  • Review meeting minutes to act upon action items or assign them as appropriate.
  • Arrange travel for the Secretary-Treasurer, maintain the Secretary-Treasurers calendar, ensure deadlines and requests are fulfilled on their behalf
  • Assist with researching, gathering, assembling and archiving documentation for submission to the pricing panel, arbitration, etc
  • Archive and organize reports, submissions and other documentation
  • Coordinate and organize activities associated with the election process and provide support for the Election Committee
  • Provide support to the Secretary-Treasurer as required
  • Work closely with the President’s Executive Assistant to ensure Cohesiveness of the executive team and their objectives
  • Special Projects as assigned by the executive team

Qualifications

  • Minimum 3 years’ experience or equivalent in an executive support level capacity
  • Detail-oriented with proven sense of urgency to get things done correctly and on time
  • Advanced-level Microsoft Outlook, Word, Excel and PowerPoint proficiency
  • Ability to exercise sound judgment, prioritization and maintain confidentiality
  • Exceptional organizational skills
  • The ability to multi-task and juggle multiple priorities
  • Excellent verbal and written communication skills
  • Experience coordinating travel
