We are looking for an Executive Assistant, Finance & Corporate Services to help grow our business and contribute to our future.
The Executive Assistant will provide administrative and operational support to the Chief Financial Officer and Vice-President, Corporate Services in the Executive Office at ISC. This role ensures efficient time management, facilitates communication across the organization, and acts as the primary back-up for the Assistant to the CEO.

Reporting to the Chief Financial Officer, other highlights include:

  • Support the management of the Executives’ time by effectively booking appointments and meetings and ensuring start and end times are adhered too.
  • Anticipate needs of the Executive to efficiently maximize time by prioritization.
  • Prepare meeting materials, agendas, briefs, information and other correspondence for and on behalf of the Executive; ensure participants have the necessary resources in a timely fashion, prior to and during meetings.
  • Arrange logistics, including travel arrangements, catering, room bookings and setup
  • Act as a liaison for the Executive office to all areas of the corporation as well as the Board of Directors, customers, stakeholders and investors.
  • Disseminate information on behalf of the Executive, both verbally and in writing as directed.
  • Follow up with staff and stakeholders to ensure timely delivery of information and deadlines.
  • Regularly liaise with company executives, leadership teams, and external customers.
  • Address calls and emails on behalf of the Executive, assess urgency, and take appropriate action.
  • Draft memos, reports, presentations, and charts using Word, Excel, and PowerPoint, ensuring accuracy and timeliness.
  • Prepare & review correspondence for accuracy, clarity, and formatting.
  • Complete and submit travel and expense claims for the Executives.
  • Manage and submit division invoices to accounts payable promptly.
  • Maintain confidentiality in all interactions and safeguard confidential files.

What you’ll need:

  • Post-secondary diploma or degree in office or business administration.
  • 5+ years’ experience in providing administrative support in a senior management or executive capacity.
  • Ability to balance multiple priorities with minimum direction while meeting deadlines.
  • Flexibility and adaptability to changing priorities and demands.
  • Displays high levels of professionalism and discretion.
  • Thorough and accurate, with a strong attention to detail to ensure quality work.
  • Capacity to handle extremely sensitive and confidential information.
  • Strong work ethic and ability to multitask with little or no supervision.
  • An exceptional communicator, both verbally and in writing to a variety of audiences.
  • Ability to work with competing priorities.
  • Experience in managing complex schedules, multitasking, and creating systems for efficiency.
  • High proficiency in Microsoft Office Suite.
  • Knowledge of or competency to learn all business units in the corporation and their functions.
