REQUIRED SKILLS AND EXPERIENCE:

  • Proven track record in an executive assistant role within a marketing or media environment, or similar. Attention to Detail: Meticulous attention to detail when handling expenses, travel bookings, and meeting logistics.
  • Stakeholder management across a diverse organisation and at a variety of levels
  • Efficient planning and prioritizing meetings/schedules/diary management
  • Managing IT issues and proficiency with software (e.g. Google Suite, Slack, Trello)
  • Ability to learn and develop new digital programs and skills
  • Researching and arranging venues/travel/catering
Responsibilities

THE ROLE

The Financial Times is seeking a seasoned and flexible Executive Assistant to provide high-level support to two Managing Directors. This is a varied and fast-paced role requiring strong organisational skills, good judgement and a proactive approach.
You will be the central point of coordination for two busy diaries, managing communications with discretion and care. Your role will also include handling global travel arrangements, preparing professional documents and presentations, and tracking actions from weekly team meetings. Building strong relationships across the FT, particularly with senior leaders and their assistants, will be essential to your success.
You’ll help drive team coordination from onboarding new starters and supporting team members within FT Professional and the FT Consumer Revenue Group, helping shape internal communications and facilitating team-building events. A confident communicator, you’ll provide excellent service to both internal and external contacts, while offering flexible support on any ad hoc tasks. This is a key role in a collaborative and high-performing environment, offering a high level of autonomy, variety and visibility across the business.

KEY RESPONSIBILITIES:

  • Manage diaries, emails and calls, ensuring queries and requests are prioritised and responded to promptly
  • Organise global travel itineraries and process expenses/invoices for two MDs
  • Produce professional documents, presentations and correspondence
  • Coordinate regular team meetings and leadership updates, including agenda planning, minutes and action tracking
  • Build strong relationships with senior leaders and their assistants across the FT
  • Provide a welcoming experience for visitors, including meeting arrangements and hospitality
  • Support organisation of internal events, from regular leadership meetings to wider team events
  • Help onboard new team members and maintain shared resources and key documents
  • Participate in the team social committee to help foster an inclusive, engaging culture
