Position Summary:
The Executive Assistant provides high-level administrative and strategic support to the General Manager (GM) of Fortune Bay Resort Casino (FBRC) and Chief Executive Officer (CEO) of the Bois Forte Development Corporation (BFDC). This role is responsible for ensuring the efficient operation of the executive office through expert calendar management, confidential communication handling, meeting preparation, and cross-departmental coordination. Serving as the primary liaison between the GM/CEO and Tribal Council, government officials, community members, and internal stakeholders, the Executive Assistant upholds the highest standards of professionalism, discretion, and organizational knowledge. The Executive Assistant will be proactive, detail-oriented, and capable of managing sensitive information with integrity. This position plays a key role in driving communication alignment, supporting enterprise-wide initiatives, maintaining operational efficiency, and enhancing executive productivity through process improvement and logistical oversight. The Executive Assistant must be familiar with all BFDC enterprises and be able to anticipate the needs of executive leadership in a fast-paced, multi-entity environment.
Core Duties and Responsibilities:

The Executive Assistant is responsible for the following duties:

  • Safeguards the confidentiality of information regarding financial, customer, operations, and personnel matters.
  • Evaluate and prioritize requests for the GM/CEO’s time, aligning calendar with strategic business goals.
  • Maintain knowledge of all resort and casino services/events/features, hours of operation, and company policies and procedures.
  • Makes travel arrangements for the GM, CEO and Senior Management Staff.
  • Maintain a complete working knowledge of office machines, telephone, and computer systems. Ensure office equipment is in proper working order, schedule preventative and regular maintenance of copier, fax machines and related equipment.
  • Identify and implement tools and process improvements to enhance executive productivity, communication flows, and administrative efficiency.
  • Serve as the primary point of contact between the GM/CEO and government officials, Tribal Council, community members and vendors. Draft and review correspondence, reports, and presentations with a high degree of professionalism and discretion.
  • Maintain a clean and attractive reception and working area.
  • Develop and maintain an accurate, organized, and efficient filing system (digital and physical).
  • Prepare agendas for scheduled meetings.
  • Attend and record official minutes, notes, and records of Bois Forte Development Corporation (BFDC) and Gaming Commission (GC) Meetings, and other meetings as requested.
  • Coordinate the preparation and distribution of meeting packets and executive meeting materials. Track follow-up items from BFDC meetings and leadership meetings.
  • Maintain knowledge of all BFDC enterprises including but not limited to the resort and casino services, events, features, hours of operation, and company policies and procedures.
  • Provide confidential administrative support for strategic projects and business development initiatives including research, reporting, and coordination of activities.
  • Answer the telephone with appropriate greeting and telephone etiquette.
  • Research information for reports as required.
  • Answer correspondence as needed; take dictation and write letters, memorandums, etc.
  • Order supplies, record usage, and reconcile costs to other departments.
  • Check and distribute mail.
  • Performs delegated responsibilities to assist the GM and/or CEO, exercising independent judgment or decision-making as the situation warrants.
  • Plans, coordinates and schedules meetings involving the Tribal Government and Tribal Council.
  • Facilitate alignment and communication between departments and executive leadership, ensuring timely follow-up and delivery of cross-functional initiatives.
  • Lead and coordinate employee event committees to plan and execute internal events.
  • Assist other departments as required.
  • Perform other duties as assigned.

QUALIFICATIONS – EDUCATION AND EXPERIENCE:

Minimum Qualifications:

  • A minimum of one year’s experience in the same or similar capacity.
  • Completion of college courses or completion of an associate degree.
  • Strong computer skills with proficiency in Microsoft Word and Excel.
  • Excellent written and oral communication skills with a strong competency to process and relay information.
  • Flexible, must work overtime when needed.
  • Accountable, dependable, and reliable.
  • Highly organized and efficient with a strong ability to handle multiple projects and assignments.

Preferred Qualifications:
