POSITION SUMMARY

Western Avenue Community Center (WACC) is seeking a welcoming, detail-oriented, and highly organized Executive Assistant & Front Office Coordinator. This individual will serve as the first point of contact for clients and guests while also providing vital administrative support to the Executive Director and staff. The ideal candidate will bring strong communication skills, excellent organizational ability, and a passion for serving our diverse community.

QUALIFICATIONS

  • Strong organizational, communication, and interpersonal skills.
  • Bilingual in English and Spanish strongly preferred.
  • Proficiency in Microsoft 365 (Word, Excel, Outlook).
  • Previous experience in executive support, office coordination, or nonprofit client services strongly preferred.
  • Ability to multitask, prioritize, and remain welcoming in a busy environment.
  • Understanding of the experiences and needs of underserved community members.

Responsibilities
  • Greet visitors and manage the flow of clients and guests entering the Center.
  • Answer and phone calls, emails, and inquiries in a professional and friendly manner.
  • Provide executive-level administrative support to the Executive Director, including scheduling, correspondence, and recordkeeping.
  • Record and track payments (checks, point-of-sale transactions).
  • Monitor and update WACC’s website and general email inbox.
  • Oversee the non-perishable food box program.
  • Maintain knowledge of WACC programs and services to guide clients effectively.
  • Develop and maintain a directory of community services to assist clients with needs outside WACC’s programs.
  • Support staff in coordination of projects and general office management.
  • Miscellaneous duties as needed.
