Salary: £34ph+ (Negotiable DOE)
Location: Canary Wharf, 4 days in 1 day from home (flex)
Contract Length: 12 Months Rolling

Responsibilities

WHAT YOU’LL DO:

As an Executive Assistant, your role will be pivotal in maintaining smooth operations within the Global Capital Markets team. You will be responsible for managing extensive interactions with both internal colleagues and external clients, building and maintaining relationships across various business units. Your excellent organisational skills will be utilised in managing the business schedule, arranging meetings and coordinating travel. Additionally, you will handle monthly expense processing and maintain the in-house CRM system. Your role will also extend to providing support to bankers outside your designated team when required.

  • Manage extensive verbal and written interaction with internal colleagues and external clients.
  • Maintain exclusive control of business schedule, ensuring no diary clashes.
  • Arrange internal and external meetings, video and phone calls.
  • Proactively book and coordinate all travel including flights, hotels, visas, currency and ground transportation.
  • Process monthly expenses in a timely manner, using Firm systems such as Concur.
  • Maintain in-house Client Relationship Management (CRM) system.
  • Provide phone cover and support to Bankers outside of designated team when other members are out of the office.

The ideal candidate for this Executive Assistant position is an experienced professional with excellent interpersonal skills. You have the ability to liaise confidently with clients and staff at all levels, remaining calm under pressure and dealing effectively with last-minute changes. Your excellent time management skills enable you to prioritise tasks efficiently in a fast-paced environment. You are a strong team player who can work well with other assistants in the team. Your technical skills include good knowledge of Microsoft applications, experience processing expenses online, booking travel via an online booking tool, and working with CRM systems.

  • Experience in liaising with clients and staff at all levels.
  • Ability to remain calm under pressure and deal with last-minute changes effectively.
  • Excellent time/priority management skills & flexibility.
  • Strong team player/buddy to other assistants in team.
  • Good knowledge of Microsoft applications (Windows10), particularly Outlook.
  • Experience processing expenses online (e.g. on Concur).
  • Experience booking travel via an online booking tool.
  • Experience working with CRM systems
