This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, cross-functional business environment. The individual in this position will be expected to facilitate efficient operations and act as a central point of contact for both internal and external stakeholders. Executive Support: • Manage complex calendars for both executives, including the arrangement and coordination of meetings, conferences, and travel itineraries. • Prepare detailed meeting agendas, compile background materials, and ensure the timely documentation and distribution of meeting notes and action items. • Screen and prioritize incoming correspondence, emails, and phone calls, ensuring that all matters are handled promptly and confidentially. • Coordinate the logistics for internal and external meetings, taking responsibility for venue bookings, catering, and technical support as needed. Administrative Coordination: • Oversee day-to-day administrative tasks, including the tracking of key assignments, deadlines, and follow-up actions to support the executives' objectives. • Prepare, proofread, and format reports, presentations, and briefing documents for executive review and leadership meetings. • Maintain and update confidential files and records in accordance with company policy and data privacy requirements. • Serve as a liaison between the executives, internal teams, and external contacts to facilitate clear communication and successful project execution. Operational Support: • Assist in the coordination of governance items, performance metrics, and progress tracking for departmental or cross-functional projects. • Provide support for the planning and execution of team meetings, town halls, offsite events, and other executive-led initiatives. • Document and consolidate updates for functional projects, ensuring executives are well-informed and prepared for decision-making.
