The Risk Community teams’ mission is to protect and grow the company by managing enterprise risks through proactive partnering with the businesses and functions. DPPO, ERM, E&C, FIC and IA work closely as second and third lines of defence for the company. We work hard to complete the objectives and tasks on hand, but we also celebrate the wins together as a team. Unique opportunity to work with stakeholders who are from other functions, as well as other locations where the company operates in (Indonesia, Singapore, India and China). Ability to develop skills and capabilities beyond usual administrative support.

Responsibilities

ABOUT THE ROLE

Seeking a proactive Executive Assistant in Indonesia to support senior leaders across functions and locations. Reporting to the Global Head of Ethics & Compliance, you’ll manage calendars, meetings, correspondence, and expenses. You’ll also assist with content creation for training and communications, and take on ad hoc tasks. A growth mindset and ‘can-do’ attitude are essential. This role requires relieving administrative burdens, fostering team culture, and engaging stakeholders at all levels. Proficiency in English and Bahasa Indonesia preferred. WHAT YOU WILL DO



    • Administrative support, which includes but not limited to travel arrangements (Visa, Tickets, Accommodation), travel reimbursements, calendar management, budget tracking, project management tracking and procurement support from raising purchase requisitions to ensuring the vendors invoices are paid on a timely basis.

    • Lead on organizing events for the Risk Community team to bring more collaboration across the Risk Community teams, which include Data Privacy & Protection Office (DPPO), Ethics & Compliance (E&C), Enterprise Risk Management (ERM), Financial Internal Controls (FIC), and Internal Audit (IA). Events may include townhalls, team dinings and outings.
    • Be responsible to obtain content for the quarterly Risk Community newsletter from the respective Risk Community teams personnel in-charge (PIC), curating the layout and publishing it to all employees in the Risk Community teams.
    • Assist the training and communication lead on content development for short video creation (e.g. script creation for E&C awareness videos), video creation using online apps (e.g. canva), poster creation for training and communication campaigns.
    • Perform ad hoc requests to support leaders as required (e.g. online research and collation of risk and governance development and news).

    WHAT THIS ROLE NEEDS



      • Proven experience as an Executive Assistant or similar administrative support role.

      • Excellent organizational and time management skills. Experience working with multiple stakeholders across different locations is a plus.
      • Strong communication (written and verbal) in English and Bahasa, and interpersonal skills.
      • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
      • Strong attention to detail and problem-solving abilities. Including ability to manage complex calendars and schedule meetings, experience handling correspondence, managing expenses, and organizing team events.
      • Ability to work independently and as part of a team, shown through being proactive and adaptable with a “can-do” attitude.
      • Growth mindset and willingness to take on new tasks. Experience in content creation is a plus.
