The Hilb Group is currently seeking a motivated and ambitious Executive Assistant to join our team. This position will report to our agency located in Canton, MA. The ideal candidate will be motivated to succeed, is well organized, able to prioritize, and able to work well with a team. This is a hybrid position; 2 or 3 days in-office per week. Responsibilities: Manage complex calendars for senior leaders, including internal and external meetings, region-wide events with marketing, and ad hoc requests from Managing Director Screen, prioritize, and respond to select carrier correspondence (email, phone, mail) on behalf of leadership team Prepare and edit high-quality documents, presentations, and reports for client-facing and internal use Manage supply levels for presentation materials, assembling proposals, and overseeing the full proposal process including printing and binding of materials for associates as needed Draft executive communications, meeting agendas, and follow-up correspondence Serve as a central point of contact liaison for internal teams, clients, and national operations resources as applicable Coordinate logistics for client events, open enrollment meetings, and run point for firm events Heavy emphasis on full spectrum of event coordination for periodic firm events. Additional responsibilities should include party planning, event coordination, and tasks such as managing the annual holiday gift card mail merge and coordinating the recipient list. Manage office supply inventory and requests for the Canton office in coordination with national operations resources Inventory and distribution management of Hilb swag in collaboration with corporate marketing resource Conduct research on benefits industry trends, carrier options, and regulatory updates as directed Coordinate cross-departmental projects and action items, ensuring follow-through on deliverables Serve as liaison for onboarding new hires in conjunction with hiring manager and corporate resources Qualifications: 3+ years of executive assistant or administrative experience, preferably in financial services, insurance, or a professional services firm Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously Proficiency in Microsoft Office Suite (Copilot, Outlook, Word, Excel, PowerPoint) Outstanding written and verbal communication skills with a professional, polished demeanor Strong attention to detail and commitment to accuracy, especially with sensitive client and compliance information Proven ability to exercise discretion and maintain confidentiality Self-starter who can work independently in a remote environment and collaboratively on in-office days Knowledge of relevant platforms including BenefitPoint, Salesforce and PowerBi (preferred but not required) Associate's or Bachelor's degree in Business Administration, Communications, or a related field preferred Travel may be required to fulfill the requirements of this position Benefits: Compensation: Salary of $55,000 to $65,000 annually; depending on experience Company Paid Life Insurance, Long-Term and Short-Term Disability.
