REQUIREMENTS

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar support - ideally in a fast-paced startup or scale up environment.
  • Exceptionally organised and strong attention to detail - with the ability to juggle multiple priorities, anticipate needs, set clear priorities and meet deadlines - all while staying calm and focused in a fast-paced environment.
  • Excellent communication and interpersonal skills that demonstrate a high level of professionalism, both verbal and written.
  • Discretion and confidentiality in handling sensitive information.
  • Confident, directive and decisive, yet personable and approachable enough to keep things moving with tact.
  • Naturally resourceful and solutions focused - you find a way, not a roadblock.
  • A positive, can do attitude - no job is too big or too small - you’re always willing to roll up your sleeves and get stuck in.
  • Driven by curiosity, ownership and a desire to constantly improve.
  • Familiarity with G-Suite products, Notion and Slack.
  • Degree educated.
  • 4 days in office and one day working from home.

Responsibilities

ROLE OVERVIEW

We are looking for a proactive, organised and highly dependable Executive Assistant (EA) to support our CoFounders (CEO & CPO) both professionally and personally. This is an unique opportunity to work closely with two visionary founders at the helm of one of Europe’s fastest-growing tech startups. If you thrive in fast-paced environments, love juggling multiple priorities and take pride in enabling others to do their best work - this role is for you.
No two days will be the same - from managing and protecting their business schedules, to coordinating international travel, you’ll work with a wide variety of stakeholders - from team members to investors and brands. You’ll gain unparalleled insight into what it takes to build and scale a high-growth startup, whilst playing an integral role in driving the company’s future success and ensuring the CoFounders execute efficiently and effectively as we scale.

RESPONSIBILITIES

CoFounder Support

  • Own and manage the complex diaries of our CEO and CPO, acting as a true gatekeeper
  • Proactively streamline their schedules to ensure maximum focus on strategic priorities.
  • Organise national and international travel (sometimes last minute), including flights, hotels, transfers and agendas — all within budget.
  • Prepare and manage expense claims on behalf of the CoFounders.
  • Book meeting rooms, source off-site venues and coordinate logistics for internal and external meetings on their behalf - and, when required, attend meetings to take diligent notes and track action points.
  • Provide personal support to the CoFounders such as managing personal appointments, family commitments or special projects; arranging personal travel; and assisting with ad hoc personal errands and tasks

Strategic & Team Enablement

  • Work closely with the Chief of Staff to support and coordinate on key initiatives — including board and executive team meetings, quarterly planning sessions, strategic offsites and other company-wide milestones - through scheduling, venue sourcing or stakeholder liaison.
  • Support the Chief of Staff in facilitating internal communications — for example, ensuring key messages and draft comms are reviewed by the CoFounders in a timely manner.
  • Support on team engagement activities, such as company-wide events and socials as and when required.
