JOB SUMMARY

We’re searching for a strategic, proactive, and ultra-organised right hand to keep our Director one step ahead. You’ll protect their time, coordinate a fast-moving team, and make sure every meeting, task, and follow-up runs like clockwork.

MINIMUM REQUIREMENTS

  • 2+ years in an executive assistant or similar high-level support role.
  • Mastery of Google Workspace, WhatsApp, Trello, and online scheduling tools.
  • Excellent English (spoken and written). Arabic is a bonus.
  • Demonstrated strength in multitasking, time management, and organisation.
  • Background in furniture / interior design / e-commerce, or a related sector is preferred.
  • Willingness to commute or relocate near Sharjah Industrial Area 18.
Responsibilities
  • Own the Director’s calendar – schedule meetings, juggle priorities, and resolve conflicts before they arise.
  • Coordinate across sales, operations, marketing, and external partners to keep projects moving.
  • Handle client and customer calls, WhatsApp messages, and emails—filter, respond, and escalate only what truly needs the Director’s attention.
  • Maintain organised digital and physical filing systems for records, contracts, and confidential documents.
  • Arrange travel, visas, and accommodation; prepare detailed itineraries.
  • Prepare agendas, take accurate minutes, and chase action items to completion.
  • Support the executive team with day-to-day administrative and coordination tasks.
  • Delegate tasks and relay instructions on behalf of the Director, monitoring progress until closure.
  • Welcome and assist showroom visitors and guests, ensuring a premium experience.
  • Draft high-level presentations, reports, and confidential correspondence.
  • Conduct research to source vendors, tools, and services that streamline workflows.
  • Manage general office duties such as ordering supplies, maintaining records, and filing.
  • Represent the Director during periods of travel or absence – lead key meetings, make routine decisions within delegated authority, keep stakeholders informed, and maintain momentum on priority initiatives.
