Description Position Summary: Entegra is looking for a well-organized Executive Assistant to support the President. This role will manage the administrative aspects of the function, including, but not limited to, office administrative tasks, expense reports, vendor account(s) organization, meeting schedule and logistics arrangements, and business report creation and distribution. Responsibilities: Safety & Compliance Programs Drive and create a zero-harm work environment, ensuring all HSE policies comply with regulatory, customer and ENTEGRA’s internal requirements. Reporting Complete specific assignments that may require attendance at and documentation of meetings. Prepare memos, reports, spreadsheets and presentations, which may require gathering data from various internal and/or external sources. Compliance Systems Management Ability to use existing resources and third-party support to ensure customer compliance within supporting systems i.e. ISN, Veriforce, etc. Administrative Duties Welcome visitors and identify the purpose of their visit before directing them to the appropriate department. Assist with office supplies, décor and company events. Organize meetings including scheduling, sending reminders and organizing catering when necessary. Coordinate national and international travel arrangements and compile expense reports for submission according to travel policy. Procurement of company materials in department merchandise, employee rewards, etc. Entrepreneurial Operating System support, including knowledge of toolbox and ability to support meeting facilitation. Ability to effectively document meeting minutes including capturing key discussions, decisions and action items. Operational Excellence: Actively participate in continuous improvement initiatives, consistently working towards the achievement of individual and team goals. Additional Duties: Perform all other duties as assigned. Requirements High School degree required; college degree preferred. 3 – 5 years of experience in an Executive Assistant role or equivalent education. Completion of Entegra Executive Assistant Level I competency assessment. Microsoft Office proficiency. Demonstrated ability to maintain confidentiality of sensitive information. Integrity and trustworthiness. Detail-orientated and able to multitask. Ability to work individually or in a team setting. Able to troubleshoot and problem-solve. Good time management skills.
